This policy sets out what you can and can't do on DMS. It applies to everyone who uses the platform — Customers and Users alike.
We want DMS to be a safe, reliable, and professional environment. If you see something that doesn't look right, let us know at [email protected].
The short version
- Use DMS for its intended purpose.
- Don't do anything illegal, harmful, or disruptive.
- Respect other people and their data.
- Don't try to break or abuse the platform.
What you can do
DMS is designed to help organisations manage their people, deliver content, collect feedback, and keep things in sync. You're welcome to use it for any lawful purpose that's consistent with your subscription and these guidelines.
What you must not do
Illegal or harmful activity
- Use DMS for any unlawful purpose or to promote illegal activity.
- Upload, share, or distribute content that is defamatory, obscene, threatening, or discriminatory.
- Infringe on anyone's intellectual property, privacy, or other rights.
- Process personal data in a way that breaches data protection law.
Security and platform integrity
- Attempt to gain unauthorised access to DMS, other accounts, or our infrastructure.
- Introduce viruses, malware, or any other harmful code.
- Probe, scan, or test the platform for vulnerabilities without our written permission.
- Interfere with or disrupt the platform's performance, availability, or security.

- Resell, sublicense, or redistribute access to DMS without our consent.
- Impersonate another person or organisation.
- Use DMS in a way that places an unreasonable load on our infrastructure.
Content standards
You must not upload or share content that:
- You don't have the right to use.
- Contains sensitive personal data (such as health or financial information) unless the platform is specifically configured for that purpose and appropriate safeguards are in place.
- Is designed to mislead or deceive.
Your responsibilities as a Customer
If you're a Customer managing Users on DMS, you're responsible for:
- Making sure your Users are aware of and follow this policy.
- Managing access and permissions appropriately.
- Removing content or Users that violate this policy.
What happens if you break the rules
If we believe you've breached this policy, we may:
- Contact you to explain the issue and ask you to fix it.
- Restrict access to specific features or content.
- Suspend your account temporarily while we investigate.
- Terminate your account if the breach is serious or repeated.
We'll always try to be proportionate and fair. Where possible, we'll give you notice and a chance to put things right before taking action.
For serious breaches — such as illegal activity, security threats, or anything that puts other customers at risk — we may act immediately without notice.
